The use of AI tools in connection with depositions or other legal proceedings is an evolving area. Current rules governing the use of AI and alternative methods of recording or analysis vary by state and locality, and each jurisdiction may impose unique requirements.
It is always best practice to consult applicable state and local rules, as well as the American Bar Association’s ethics guidance, to ensure compliance. Courts and professional organizations may also revise requirements as technology continues to develop.

Overview
The table below provides a high-level overview of how to use Depositions by Filevine before, during, and after proceedings.

Add Cases Go to the Cases section of Depositions by Filevine and add your cases.
Schedule Proceedings Within each case, schedule any upcoming proceedings. Enter each attendee and their role. Attendees receive automated email invites and reminders.
Upload Notices and Exhibits Once a proceeding has been scheduled, upload the notice of proceedings and any exhibits you plan to reference in the proceeding.

Work with a Qualified Reporter During hosted proceedings, you'll be accompanied by a professional reporter.
Access Real-Time Transcription View the livestream transcription from the proceeding and request playbacks from the reporter as desired.
Set Goals and Stay on Track With Depo CoPilot, you can set objectives and receive real-time analysis and suggestions during the proceeding. Refine your questioning, address inconsistencies, and make sure no critical detail is overlooked before the proceeding is over.

Access AI-Compiled Transcript and Summary After hosted proceedings, access a rough draft transcript. Use the transcript toolkit to gather and share noteworthy moments. Then, use the deposition summary to rapidly identify key themes and takeaways.
Order a Certified Transcript If the proceeding’s transcript is needed by official authorities or for trial, you can quickly order a certified version during or after the proceeding.
Upload Transcripts and Recordings For proceedings hosted outside of Depositions by Filevine—by opposing counsel, for instance—you can upload the transcript or recording afterward. That way, all your proceedings are documented in one central location.

Structure
Cases represent the baseline level of structure in Depositions by Filevine. A case should contain all information, documents, transcripts, and exhibits related to that case’s proceedings.
The Cases section displays a list of all the open and closed cases you have access to.
Within a case, you can view a list of the proceeding folders and standard folders created for the case.
Within a proceeding’s folder, there are always three default sub-folders:
- Exhibits: when you upload evidence or documents to present during the proceeding, the files are stored here.
- Notices: when you upload the notice of proceedings, it can be accessed here and through the event link.
- Clips: after the proceeding ends, you can review the video- and audio-synced transcript and cut clips to share important snippets. Transcript clips are stored here.
You can add additional standard folders in the proceeding folder if desired. Once the rough draft or certified transcript is available, you can find it in the proceeding’s folder as well.
Navigation
The navigation menu appears along the lefthand side of Depositions by Filevine. Here’s a brief description of each section.
- Cases: a central place where you can view a list of all of your cases
- Shared: find transcripts for proceedings that you have access to, but are not part of a case you own. Most commonly, these are proceedings you attended that were scheduled by another firm.
- Calendar: browse all past and future scheduled proceedings and share events with your external calendar
- Medical Records: upload medical records for AI-generated summaries and medical chronology timelines.
- Team: browse through other offices and users in your Org and view their assigned cases.
Actions and Details Panel
Along the righthand side of Depositions by Filevine, there are several menus available depending on what section or folder you’re currently viewing. The topmost menu is typically selected by default. To hide the righthand panel, click the currently-selected menu icon, or click Collapse (arrow icon) in the bottom right corner of the page.
Read through the sections below to learn more about each panel menu option. The transcript toolkit and the Calendar section include additional panel menu options.
Actions Menu
The Actions panel menu (shown above) allows you to take actions relevant to the section you’re viewing.
For example, if you’re in the folder for a proceeding, you can use the Actions panel to join the proceeding, add proceeding notices, upload exhibits, and so on. If you’re in the main Cases section, you can create a new case or schedule a proceeding.
Details Menu
The Details menu provides high-level information about the highlighted folder or document on the current page.
To highlight a folder or document, click anywhere on the item other than the name or ellipsis icon. You can then select Details in the panel menu.
Case Menu
When you navigate to a specific case or proceeding, you can select Case in the panel menu to view or edit high-level details about the case.
Proceeding Menu
When you navigate to a specific proceeding, you can select Proceeding in the panel menu to view high-level details about the proceeding. You can also take certain actions like joining or canceling the proceeding.
Ask LOIS
When you navigate to a case, proceeding, or transcript, you can select LOIS in the panel menu to ask questions about one or more transcripts. LOIS provides AI-powered insights and analysis in a conversational format. To learn more, read the Depositions: Ask LOIS article.
Create New
In the top right corner of most sections in Depositions by Filevine, expand the + New dropdown to create new cases and standard folders, schedule hosted and non-hosted proceedings, and import transcripts and recordings.
Profile Menu
In the top right corner of Depositions by Filevine, expand the profile menu to open the Account Manager tool or sign out.
