This article discusses how to use the transcript toolkit in Depositions by Filevine.
Once a hosted proceeding has ended and the rough draft or certified transcript is available, use the transcript toolkit to notate, cut clips, and export into various formats. You also have the option to import transcripts or recordings from proceedings hosted elsewhere into the transcript toolkit.
To view a transcript in the toolkit, find and select the desired case and proceeding, and then select the transcript name.

View Transcript
In the toolkit, transcripts are automatically synced with the proceeding’s audio and video, if available. In the menu bar along the bottom, click the play button to replay the recorded audio and video from the beginning. As you listen, the currently-playing word or phrase is highlighted in the transcript. You can adjust the playback speed and jump forward or backward in five-second intervals.
Jump to a specific word or utterance in the recording by selecting the word and then clicking the play button on the audio player.
To expand the video, select the video box at the bottom. You can adjust the video player’s position, or change its size by dragging the edge.
When you highlight a portion of the transcript, a small toolbar appears with options to add notes, assign issues and designations, cut clips, and more. To learn more, read the subsequent sections about annotation and issues/designations.
Utterances with the following annotations will display the respective icons along the righthand side of the transcript. Click the icon to open the annotation in the righthand panel:
- Note: pencil icon
- Page:line summary: paragraph icon
- Issue: asterisk icon
- Designation: bookmark icon
Additionally, the color(s) associated with each tagged issue and designation will display as a vertical bar on the right.
Search and Filter
Use the search bar along the top to find the desired participant, keyword, or utterance.
To show or hide certain types of annotations, click Filters in the top right corner of the transcript. Filter by:
- issue codes
- designation sets
- created by person
- modified by person
- annotation type (summaries, notes, etc.)
Note
The Created by person and Modified by person filters apply to issues and designations only. Notes and page:line summaries are not affected by these filters.
To remove all filters, click Reset at the top of the filter menu. Filters are removed when you refresh or navigate away from the transcript toolkit.
Additional Proceeding Details
To view or edit high-level details about the case and proceeding this transcript belongs to, select Details from the righthand side menu. To view the exhibits uploaded for the proceeding, select Exhibits.
Summarize and Analyze
To view and customize the AI-generated transcript summary, select Summary from the righthand side menu. To ask LOIS for AI-assisted feedback and insights based on transcript content, select LOIS from the righthand side menu.
Annotate and Share Highlights
Highlight transcript utterances to add internal notes, cut shareable clips, and more. Read through the sections below to learn more about each option.
Add Notes
To notate which portions of the transcript are most important, highlight the desired utterance(s). Above your selection, click Note. In the panel on the right, confirm where the selection should start and end, and add any relevant notes or observations.
When you’re finished, click Create.
When viewing the transcript, utterances with associated notes display a pencil icon on the far right. To view all existing notes in a transcript, select Notes from the righthand side menu.
Select a note to jump to its location in the transcript. Use the caret to expand or collapse an individual note, or click Expand or Collapse at the top of the panel to expand/collapse all notes.
Select a note’s ellipsis icon ⋯ to take one of the following actions:
- Edit: edit the page:line range or note text.
- Copy link: get a shareable link to the transcript range referenced by the note.
- Delete: delete the note from the transcript.
Create Video Clips
When you want to share an important snippet using both video and audio from a proceeding, create a clip.
Highlight the portion of the transcript you want to include in the clip. Above your selection, click Video clip.
In the Export Clip modal, enter a name for the clip. Adjust the start and end time of the clip if desired, and choose whether to include subtitles in the exported video. When you’re finished, click Export.
When the clip is finished processing, you will receive an email notification from depositions@filevine.com. The processing time is typically equal to the clip’s duration.
In the proceeding, navigate to the Clips folder, and then find and select the clip name. In the clip preview, click Download to download and share the file.
In the transcript toolkit, the clip’s name and transcript range are added to the Notes list.
Copy and Cite
You can copy and paste transcript citations with the source, designations, and formatting intact. Highlight the desired portion of the transcript, and then click the Copy formatted quote icon above your selection.
To copy and paste citations as plain text without formatting, highlight the desired portion of the transcript. Use Ctrl (⌘ for Mac) + c to copy to your clipboard, and then Ctrl (⌘) + v to paste in the target document.
To get a hyperlink to the highlighted portion of the transcript, click the Copy link to selection icon. Keep in mind that this link is not externally shareable—it is only accessible to other members of your organization in Depositions by Filevine.
Create Issues and Designations
Use issue coding and designations to begin organizing testimony and admissible evidence in the transcript toolkit. First, accept or reject the AI-assigned issues, and if desired, create additional ones. Then, create designations to enter into evidence.

Import or Export
At the top of the toolkit, click Import to replace either the transcript or video/audio recording with an updated file. If you originally imported the transcript only, you also have the option to import a recording for synchronization (or vice versa). Learn more about importing transcripts and recordings.
To export the transcript, notes, video/audio, and more, click Export. Read through the sections below to learn more about each export option.
Export Transcript
In the Export modal, make sure Transcript is selected. Choose whether to export the transcript to PDF or TXT format, and then enter a name for the exported file. Click Export to download the file to your device.
Export Summary
In the Export modal, select Summary. To learn more about exporting transcript summaries, read the Export Summary section of the Transcript Summary article.
Export Notes
To export the transcript notes as a .docx file, select Notes in the modal. Enter a name for the exported file. Click Export to download the .docx file to your device.
Export Issues or Designations
In the Export modal, select Issues or Designations to export the respective annotations. To learn more, read the Export section of the Transcript Issues and Designations article.
Export Video/Audio
To export the proceeding’s recorded video or audio, select Video/Audio in the modal. Choose whether to export the MP4 (Video) or MP3 (Audio), and then enter a name for the exported file. If applicable, choose whether to export the Exhibit spotlight or the Witness spotlight.
Click Export to download the file to your device.
