In the LOIS for Meetings mobile app, you can add LOIS to your meetings, obtain an AI-generated summary and transcript, and review suggested follow-up actions.
Heads Up!
LOIS for Meetings requires an active internet connection to process recordings. You can still record meetings while offline, but transcription will not begin until connectivity is restored.
Start Recording
To start recording a meeting, choose from the following options.

Connect your Google or Microsoft calendar to the LOIS for Meetings app to view upcoming meetings and allow LOIS to join them automatically.
In-Person Meetings: Use Microphone
To record using your device’s microphone:
- Tap the plus button. In the Meetings app, tap the plus button in the lower navigation bar.
- (Optional) Enter the meeting name. Enter a name for the meeting. Alternatively, you can skip this field and add a meeting name later.
- (Optional) Choose a project. Select the relevant Filevine project. (If prompted, select the Org before choosing a project.) To create a new project, tap the plus button and fill out the fields as described in the Create a New Project article. Alternatively, you can skip this field and select a project later.
- Record. Tap Record, and allow microphone access if prompted.
You’ll be taken to the meeting details screen. Use the buttons at the bottom to pause, resume, or end the recording. Once recording has ended, it cannot be restarted.
Remote Meetings: Add Meeting Link
To add the LOIS Notetaker bot to a Zoom, Google Meet, or Microsoft Teams meeting:
- Press and hold the plus button. In the Meetings app, press and hold the plus button in the lower navigation bar for about five seconds.
- Enter the meeting link. Paste the entire meeting link you would use to join the meeting. If a password is required, include it in the link. Alternatively, you can paste the entire invite text, including the link, and LOIS will identify the link in the text.
- Send. Tap Send to send the bot to the meeting.
The new meeting will appear on the Home screen. Once the bot successfully joins the link, the meeting status will change from LOIS joining to Recording with meeting link. Tap the meeting to view its details and manage the bot.
Note
If the bot is unable to join the meeting, the meeting status will change to LOIS couldn’t join. Tap the meeting, and then tap Resend bot to try again. Make sure the meeting is not locked and the link includes the password, if applicable.
In the meeting details screen, tap the ellipsis icon ⋯ and select Edit meeting to enter a meeting name and select the relevant Filevine project.
To remove the bot from the meeting, tap Stop recording. Once you remove the bot, you cannot send it back except by repeating the steps above.
In the Zoom/Meet/Teams attendee list, the LOIS Notetaker bot will appear as (Your First Name)’s LOIS Notetaker.
View Meeting Details
During recorded meetings, you can view the realtime audio transcription in the meeting’s Transcript tab.
Tap the ellipsis icon ⋯ in the top right corner to take one of the following actions:
- Edit meeting: update the meeting name or associated Filevine project.
- Copy summary: copy summary text to your clipboard. This option is only available after recording has stopped and the meeting has been processed.
- Delete meeting: permanently delete the meeting, including the transcript, summary, and any unpublished actions. Actions already published to the Filevine project will not be deleted.
Once recording has stopped, LOIS will finish processing the meeting audio and generate the transcript, summary, and suggested actions. This process may take a few minutes, depending on recording length and network connectivity.
Once processing is complete, you can use the following tabs to review the meeting details:

Summary: this tab shows a high-level recap of the meeting in narrative format. Each main topic is displayed in bold, with bullet points summarizing the discussion and talking points.

Actions: this tab shows any follow-up actions suggested by LOIS based on the meeting discussion. To learn more, read the Manage Suggested Actions section below.

Transcript: the realtime transcription will be updated to include a timestamp and speaker for each utterance. Speakers are automatically assigned and numbered (Speaker 1, Speaker 2, etc). Use the buttons at the bottom to replay the recorded audio and jump forward or backward in ten-second intervals.

Notes: upload photos of any handwritten notes you took during the proceeding. If prompted, allow camera access.
Heads Up!
Transcription accuracy is subject to the quality of the recorded audio. Background noise, speakers talking simultaneously, or low microphone volume may result in errors or gaps in the transcript.
Manage Suggested Actions
In the Actions tab of the meeting details screen, each action displays an assignee, message, and due date, and can be published to the Filevine project as a task item.
To publish an action to Filevine, click Publish. To update the assignee, due date, or message text before publishing, click the pencil icon. Make the desired edits, and then click Publish. To remove a suggested action from the list, click the trash icon.
Click + New to add a new action to the list. Fill out the assignee, due date, and message text, and then click Publish.
Once an action is published, it can no longer be edited or removed from the Actions tab.
View in Filevine
In the associated project’s Docs section, you can view the meeting’s transcript and summary, along with any notes you uploaded, in the LOIS for Meetings folder. (If no LOIS for Meetings folder exists, it will be auto-generated when the transcript and summary files sync over.) In this folder, the meeting’s subfolder displays the meeting name, along with its date and timestamp in UTC (Coordinated Universal Time).
After you publish suggested actions, they will appear as task items in the project’s Activity Feed, along with the user feed and task page of subscribed and assigned users, respectively.
