This article discusses how to set up and use LOIS for Notes.
With LOIS for Notes, you can use a smart pen to capture and send your handwritten notes to the LOIS for Meetings app. Your notes are digitized, timestamped, and synced to the app, eliminating the need to transcribe or scan them.

The LOIS for Notes smart pen is not yet broadly available. If you are interested in LOIS for Notes, use this form to request to join the waitlist.
Overview
Once you pair the smart pen with the LOIS for Meetings app, you can use the pen to capture and sync handwritten notes from an inq notebook to the app. After that, meeting notes can sync from the app to the associated Filevine project.
Requirements
Before your first notetaking session, make sure you meet the following requirements:
- You have a LOIS for Notes smart pen and inq notebook. The smart pen will be shipped to you, along with an inq notebook. Make a note of the pen’s serial number on the back of the box, and make sure the pen is fully charged before first use.
- You have an up-to-date iOS device. Currently, only iOS devices are supported. Ensure the device is running iOS 16 or later and has Bluetooth enabled.
- You have the LOIS for Meetings app. Download and install the LOIS for Meetings app, and sign in with your Filevine email and password.
Setup
Fully charge the smart pen using the included USB cable before first use. A low battery during setup can cause pairing issues. Once fully charged, make sure the pen is capped, and then open the LOIS for Meetings app.
Follow these steps to pair the app with the pen:
- Navigate to Profile > Filevine Smart Pen. In the lower navigation bar, tap the profile icon, and then tap Filevine Smart Pen.
- Start the connection process. On the welcome screen, tap Connect.
-
Choose a pairing method. You can either allow the app to scan for any nearby LOIS for Notes pens, or use your pen’s serial number to scan for your specific pen:
-
Scan for any nearby pens: tap the Find nearby pens button at the bottom of the screen.
-
Use serial number to scan: find the white label on the back of the box the smart pen arrived in. Enter the last five characters of the serial number, labeled S/N, in the field displayed on your screen. Tap Next.
-
Scan for any nearby pens: tap the Find nearby pens button at the bottom of the screen.
- Remove the pen’s cap. Remove the pen’s cap to enable pairing. Once the pen’s light starts flashing blue, it is discoverable to the Meetings app.
- Select the pen once it appears in the app. The pen should appear as a pairable device in the Meetings app. Tap the device when it appears on your screen. If multiple pens appear, double-check the serial number on the box to confirm the correct one. If your pen does not appear in the list, read the LOIS for Notes Troubleshooting article.
-
Hold the pen’s LED in front of your camera. The pen will begin flashing various colors in a sequence. Allow camera access, if prompted, and then hold the flashing LED in front of your device’s camera. Make sure the LED completely fills the circle displayed on your screen, even if it appears out of focus.
Tip
Underneath the camera view, you’ll see live feedback indicating whether you should adjust or move the pen closer to the camera. Use the Brightness bar to increase or reduce the camera brightness as desired.
Once the pairing process is complete, you’ll see a success message on your screen. Tap Continue. You can view the pen’s status and settings at any time by returning to Profile > Filevine Smart Pen in the Meetings app.
Heads Up!
The pen may require a firmware update. If so, the pen’s light will turn orange.
In the Meetings app, navigate to the Filevine Smart Pen screen and confirm the installation, which will take about 10 minutes. Keep the pen charged, uncapped, and near your device, and keep the app open until the update has finished.
Use
Use the pen cap to turn the pen on or off. The pen turns on when you remove the cap, and turns off when you re-cap it. Its LED light will change colors depending on its current state. To learn more, take a look at the table below.
| Light Color | What It Means |
|---|---|
| Blue | Awake. The pen is connected and ready for notetaking. |
| Blue (flashing) | Awake. The pen is discoverable and ready to pair. |
| Green | Awake, but idle. Start writing again to reconnect to your paired device. |
| Green (while charging) | Fully charged. |
| Orange |
A firmware update is required, or the pen has encountered a problem and is restarting. For details, navigate to the Filevine Smart Pen settings in the Meetings app. |
| Orange (while charging) | Charging, but not yet fully charged. |
| Red | Low battery. |
| No light | Off or in standby mode. Start writing again, or cap and un-cap the pen, to wake it. |
Meeting Notes
Any notes taken in the inq notebook will sync automatically to the Meetings app. To view them, tap the pen icon in the top right corner of the Home screen.
Additionally, any notes taken while recording a meeting in the app will also appear in the Notes tab of that meeting. Tap Send to Filevine to send these notes as .png files to the associated project’s Docs section in the LOIS for Meetings folder.
Transcript Links
While viewing a synced notebook page, toggle on Transcript links to see the timestamp for each note. When enabled, you’ll see numbered markers next to each note. Tap one of these markers to see the associated meeting, along with the transcript utterance and timestamp when the note was taken.
Note
Notes are grouped together and timestamped based on when you pause and resume notetaking. If you stop writing for more than five seconds, the next note you write will have its own timestamp and transcript link.
Tap the transcript utterance to jump to that location in the Transcript tab of the meeting.
Transcript links also work in reverse. Transcript utterances with associated notes will display a Note link next to the speaker and timestamp. Tap Note to jump to that note.
