Users can connect the LOIS for Meetings app with their Google or Microsoft calendar.
Connecting your calendar allows you to view your upcoming meetings in the app and seamlessly start recording them. You can also allow LOIS to automatically join remote meetings on your calendar.
Note
This connection is a one-way sync from your external calendar to the LOIS for Meetings app. Meetings created in the app do not sync back to your external calendar.
Connect Calendar
To connect your calendar, follow these steps:
- Navigate to Calendar settings. In the Meetings app, navigate to Settings > Calendar.
- Choose Google or Microsoft. Underneath either Google or Microsoft, tap + Add account.
- Follow the steps. You’ll be prompted to sign in to the applicable Google or Microsoft account. Follow the directed steps and allow access.
Once the calendar has been connected, you’ll return to the Meetings app.
By default, only the events from your primary calendar will sync. To include additional calendars from the same Google or Microsoft account—like a birthday or personal appointment calendar—tap Manage calendars.
Select the desired calendars, and then tap Save.
Disconnect Calendar
To disconnect your Google or Microsoft calendar from the Meetings app, tap the x icon next to the connected account. In the confirmation modal, tap Disconnect to confirm.
When a calendar is disconnected, its upcoming events will no longer appear in the Meetings app. However, past events that you recorded will continue to display in the app.
Enable Auto-Join
After connecting your calendar, you can choose whether to allow the LOIS Notetaker bot to auto-join meetings with a Zoom, Microsoft Teams, or Google Meet link.
In the Calendar screen, scroll to the Auto-join meetings header. Choose from the following displayed options:
- Always: the bot joins and records every meeting on your calendar with a Zoom/Teams/Meet link.
- When I’m the organizer: the bot joins the meetings you personally scheduled.
- Never: the bot does not auto-join any meetings.
Start Recording
In the Home tab of the LOIS for Meetings app, the “Coming up” section shows any events from your connected calendar that start in the next hour.
Depending on your auto-join settings, the LOIS Notetaker bot will automatically join and record eligible meetings as (Your First Name)’s LOIS Notetaker. To remove the bot from a meeting before the scheduled end time, navigate to the meeting in the LOIS for Meetings app and tap Stop recording.
For in-person meetings, tap Start recording in the LOIS for Meetings app to immediately start recording the meeting using your device’s microphone. If prompted, allow microphone access.
Heads Up!
If a meeting is eligible for auto-join, wait for the bot to join automatically.
If you tap Start Recording for these meetings, the app will override your auto-join settings and begin recording with your microphone. The bot will not join the meeting.
