In the Auto-tags Advanced tool, you can create auto-tags—tags that are automatically added to a project based on reporting criteria.
Access to this Advanced tool can be managed in the Advanced Access tab.
Auto-tags Tool
Navigate to this advanced tool by clicking on the main menu in the top left corner and selecting Advanced from the dropdown menu. Then, click Auto-tags in the left-hand side menu. If prompted, select the Org where you would like to add auto-tags.
View Auto-tags
In this tool, you can view the list of created auto-tags. This list can be reordered by clicking and dragging the dotted line on the left side of an auto-tag.
Each auto-tag includes the following information:
- a status: either “Active” or “Error” status
- the name of the report it is using for criteria
- the creator of the auto-tag
- the time that the auto-tag application was last refreshed
Create a Report
Run and save a “Project List” type report with the desired criteria. For example, if you wanted to apply a tag automatically to any project that has not had activity for 30 days or more, you would run a list of projects report and limit the criteria to those projects whose last activity was “None with 30 days of today.”
Once you have saved the report, you will be able to tie the report and its criteria to the auto-tag. Every project in the report will automatically be tagged with the auto-tag. Whenever the report refreshes, the list of projects with this auto-tag will also be updated. (Reports usually refresh about once per hour.)
Add an Auto-tag
Click Add a Project Auto-tag at the bottom of the list of auto-tags.
In the Create New Project Auto-tag modal, search and select the tag you’d like to use as an auto-tag. If you have access to the Tag Manager tool, you can also enter and create a new tag.
When you add an auto-tag, it must be selected from the existing list of tags, unless you have access to the Tag Manager Advanced tool.
Once you’ve selected the tag, click the Report for Project Criteria dropdown and select the report you saved from the list of available reports.
Click Save. The auto-tag will be added to the list, and all projects currently in the report will have the tag added to them automatically. Any project that is no longer part of the report will have the tag removed.
Edit and Remove Auto-tags
You can edit both the tag and the report for an auto-tag. Click on the auto-tag to open the Edit Project Auto-tag modal. To edit the tag, click the “x” on the current tag and then add the desired new tag. To edit the report for project criteria, select a new report from the dropdown. Click Save.
Auto-tags can also be removed. To remove, click on the auto-tag to open the Edit Project Auto-tag modal. open the auto-tag modal, and click Remove Auto-tag.
Auto-tags in Project
Auto-tags will appear in the project header bar and Vitals flyout, and will be marked with a Filevine icon.
Auto-tags cannot be manually removed from a project at the project-level. If you attempt to remove the auto-tag, it will be automatically re-applied.
