Filevine’s Calendar section will display deadlines, events, deadline chains, and more associated with that project. Filevine has two types of calendars: a project calendar, which is displayed in the project’s Calendar section, and a user calendar, which displays events associated with that user. Here we will discuss the project calendar.
The project’s Calendar section displays all of the project’s events and deadlines. This calendar is meant to provide an at-a-glance look at past and future deadlines and events. Attendees on project events will also see those events on their user calendar. If a user is a follower on the project, the project’s deadlines will also be included on their user calendar.
View
The calendar section can be viewed in a month, week, day, or list view. Click on the view button in the top right of the calendar section to select another view from the dropdown.
List view provides a great way to see upcoming events on a project. Instead of showing events over a time period, the project list view shows all events following the selected date, even when gaps between events span weeks or months. The selected date defaults to today’s date, but you can also select a different starting date or press “Go to first event” to see every event and deadline on the project.
Use the buttons in the top left of the section to navigate between dates. The left and right arrow buttons will move between months, weeks, or days accordingly. Click on the date rate to open a dropdown date picker, where you will be able to navigate between years and months to choose far-off dates quickly. Clicking the “Today” button will immediately take you back to the date range of the current date.
Search
Once an event or deadline is created, it will be searchable within a few minutes. Both the “Search this Project” search button under the project sections menu and the “Search Deeper” button located in the “Search for a project” dropdown include calendar events and deadlines in their search. To search only on the calendar, click “Options” and unselect all other options by clicking on them.
The event can be searched by name, date, location, notes, or attendees. Only events for dates in the future and dates going back 336 hours (14 days) will be searchable.
Events and Deadlines
Events on the project calendar will include all deadlines and chains, all events from a shared calendar (like Google or Outlook), and all manually-created events.
Deadlines and Chains
The project calendar displays all deadlines and deadline chain due dates added to a project. Deadlines and deadline chain due dates are created in their respective project sections, and will automatically be added to the calendar when created. These deadlines and due dates appear as all-day events on the calendar, and will include the text “DONE” on the calendar when they have been marked complete.
Manually Add Events
To add an event to the calendar, click "+ Create Event" in the top right, or click on any date or hour in the calendar. In the "Edit Calendar Event" modal, you can choose the event’s title, associated project, and time and date. You also have the option of adding a location and any additional details to the event. Checking “All Day?” in the time picker will create all-day or multi-day events.
You will also have the option to add time tracking details and attendees. Adding time-tracking details will create a billing entry upon completion of the event. Time tracking details can be added for all, some, or none of the attendees. Learn more about calendar based time tracking.
Once it has been saved, the event will appear on this project’s calendar for all users who have access to the project, as well as on the user calendar of any attendees. If you have shared your calendar with Outlook or a Google calendar, events added to the Outlook or Google calendar will show up on the project calendar.
