In Depositions by Filevine, you can view and manage cases in a way similar to a file explorer. Each case contains past and upcoming proceedings in their respective sub-folders. This article discusses how to create, manage, and archive cases.
Treat each case in Depositions by Filevine as the central repository for all of its proceedings—whether hosted with Depositions by Filevine or elsewhere—along with any related documents and exhibits.
Create
In Depositions by Filevine, click + New in the top right corner, and then select Case. In the New Case modal:
- Name the Plaintiff and Defendant. In the “Parties” section, enter the names of the plaintiff and defendant in their respective fields.
Note
Once you name the plaintiff and defendant, the case name automatically populates with their names in “Plaintiff vs. Defendant” format. To set a custom name for the case, find the case name field at the top of the modal. Click Edit and enter the desired case name.
- Enter the relevant case or claim numbers. In the “Case information” section, you can enter the case/index number, claim number, or File#/Matter ID, as applicable.
- Select the state and county/district. If this case is federal, click the toggle next to Federal case, and then choose the state and district (if applicable). Otherwise, leave Federal case toggled off, and then choose the state and county.
- Add case owners. In the “Case owners” section, choose which team members should see this case in their Cases section.
- Click Create.
The newly-created case will display in the Cases section.
Manage
In the Cases section, select the desired case’s name to view its contents.
To edit case details, including which team members have access, select Case details (briefcase icon) from the righthand panel menu, and then click Edit case.
In the Edit Case modal, edit the desired fields, and then click Update.
Link with Filevine Project
Firms with Filevine have the option to link cases with their equivalent Filevine projects. Linking a case allows for the following to happen:
- Aligned Permissions: linked cases inherit the permissions from the Filevine project. Only users with access to the Filevine project will be able to access the case in Depositions by Filevine.
- Imported Project Documents: when setting up goals in Depo CoPilot, you can attach relevant documents from the Filevine project to your goal. Depo CoPilot can then cross-reference witness testimony against your project documents in real time.
- Exported Transcript and Summary: after hosted proceedings, a copy of the transcript and summary will appear in the linked Filevine project as .pdf or .docx files. The summary includes both narrative and page:line formats.
Additionally, when beta participants schedule hosted depositions in Filevine, the deposition will automatically be placed in the linked case for clean and consistent records across both platforms.
To link a case with a corresponding Filevine project, select Actions (plus icon) from the righthand panel menu, and then click Connect Filevine project.
In the Connect Filevine Project modal, search for and select the desired Filevine project, and then click Continue.
Heads Up!
After this step, you will be unable to change or remove the link. Make certain you’ve selected the correct project before proceeding.
After you link a case with Filevine, the Connect Filevine project button changes to Open Filevine project. Click this button to open the linked project in Filevine.
Folders
View a list of the proceeding folders and standard folders created for the case. Proceeding folders contain the exhibits, notices, clips, and transcripts that pertain to the proceeding. Standard folders are used strictly for case-related file storage.
Proceeding folders are indicated by folders with a microphone icon, whereas standard folders have a blank folder icon.

To add a standard folder to the case, click + New in the top right corner, and then select Folder. To rename or delete a standard folder, click the ellipsis icon ⋯ next to the folder and select the desired action.
Archive
Heads Up!
In order to archive a case, there must be no upcoming proceedings.
In the Cases section, find the case you want to archive. Click the ellipsis icon ⋯ next to the case, and then select Close case. Select the general outcome of the case, and click Confirm.
To find the archived case, select Closed. To reopen the case, click Re-open case next to the case.
