Vinesign can send documents directly to a client's Client Portal account, instead of sending by email or text. The client can view, fill, and sign the document, all within their Client Portal.
This article covers how to send a document for Client Portal delivery from Vinesign, what the client sees in the portal, and where the signed document ends up. For general steps on sending a document in Vinesign, read Send Documents in Vinesign.
- In Vinesign, the sender selects “Client Portal” as the delivery method.
- In the Client Portal, the client is notified and fills and submits the document.
- Once the document is completed by all recipients, the Client Portal recipient can view the completed document in the portal. The sender can view the completed document as they typically would.
Select the Delivery Method in Vinesign
The Client Portal delivery method is selected when sending a document in Vinesign. Navigate to Vinesign, either directly or by selecting Vinesign for a document in Filevine.
Selecting a Send Method
In the third step of Vinesign’s document sending flow, Prepare, you can select the delivery method for each recipient.
The “Client Portal” send method is available provided:
- The document job is associated with a Filevine project
- The selected Filevine contact has an active portal invitation
The “Client Portal” option is not available for external users or Filevine contacts who haven't been invited to the portal.
When you add a signer by searching Filevine contacts, Vinesign checks that that contact has an active Client Portal invitation for the associated project. If they do, a Send method dropdown appears on their recipient card with two options: “Client Portal” and “Email / SMS.” “Client Portal” is selected by default.
With Client Portal selected, the phone and email fields are hidden, since the document is delivered inside the portal rather than by email or text. Two-factor authentication is not available for Client Portal delivery, since signing in to the portal already provides a layer of authentication.
Switch between the two methods at any time before sending—the card will update accordingly.
Tip
On a document with multiple signers, each recipient's send method is configured independently, so one signer can receive the document through Client Portal while another receives it by email or SMS.
Send Settings
In the fourth step, Send, you can adjust signing and messaging settings the same way you would for SMS or email delivery methods. Edit or add to the Email Subject and Email Body feels to adjust the message the recipient will see in their portal.
If Client Portal Delivery Fails
If a document can't be delivered through Client Portal at send time—for example, if the client's portal access has since been removed—the send will fail and appear in Vinesign's failed-job list with a reason. You can resend using Email/SMS.
Fill and Sign in the Client Portal
Once a document is sent from Vinesign, the client receives the signing request as a message in their Client Portal inbox. The document also appears as an item in their Tasks list.
Opening the request loads the document in an embedded filling and signing view inside the portal. The client can click through the fields to fill and sign the document.
After completing the required fields, the client selects Finish to submit their information and signature.
The client sees a message that the signature is complete, just as they would using another signing method.
View the Signed Document
Once all recipients have completed and submitted the document, the completed document is delivered back to any Client Portal signer as a message with the signed file attached. If the Client Portal signer is the only recipient, the document will be available within a few moments after submitting.
The signed document is also saved to the client's Documents section in the portal for later reference.
The completed document is available for the sender in Filevine and Vinesign, just as it would be for any other delivery method.
