An unassigned texting number can be used to send and receive texts both from an Org’s mailroom and from individual projects. You will still be able to use the unassigned number to send texts from the mailroom as usual. Items and their comments can still be moved to projects from the mailroom. Sending from the Project
Texts can be sent straight from a project using either a project number or an unassigned number. To send a text from a project, go to the activity feed and click into the "Write a note" box. Click the speech bubble icon to open texting options.
The sender number will automatically fill with the default number for that project. If you have multiple available numbers, you can click the default number to select a different number. If the project has its own SMS number, the project number will be the default. If the project does not have its own number, the Default Org Number will be the default.
Once you have selected the sender number, select the recipient. In the "Select Recipient" box, you will be able to search for any project contact with an SMS number. Click on a contact to add the recipient. Click the pencil icon to change recipients.
Best Practices
You will be able to use one unassigned number for many different projects. Below are some best practices and tips to help you maintain clarity between different numbers and different projects:
- Use the unassigned number for all new clients.
- If you have the same client on multiple recent or ongoing projects, using different numbers, or a project-level number for each of those projects, will help you maintain clarity in texting conversations.
- When cases with project-level numbers are archived, their numbers will become available as Org numbers in the Org Phone Numbers Advanced tool. These numbers can be used as Org numbers or removed to reduce clutter.
