This article discusses how to block and delete any email address, texting (SMS) number, or fax number at the Org level by marking an item as spam. Items can be marked as spam in a project or mailroom.
A marked number or address can be blocked across a single Org either from a project or from the mailroom. Numbers or addresses can not be blocked on a project-by-project basis.
Blocking a number or address cannot be undone by the user. Be careful when blocking a sender! Marking as spam will block the sender permanently, and you will not be notified when that sender sends texts, emails, or faxes to that Org in the future.
The Mark as Spam tool is only available for Org Admins.
Blocking in a Project
- Locate the message. In the project, click on the project’s Activity Feed section in the lefthand menu and search for the message from the sender you would like to block. Expand the email, fax, or SMS Note by clicking on it.
- Click on “Block Sender.” The option “Block Sender” will appear along the bottom of the item for all Org Admins. (If you are not an Org Admin, you will not be able to block this sender.) Click on “Block Sender” here. Alternatively, you can click on the vertical ellipsis in the top right corner and select “Block Sender” from the dropdown menu.
- Confirm. You will be asked if you want to permanently block the sender and delete the message. This action cannot be undone. Verify that you would like to permanently block this sender across your entire Org. Once you have verified, click on the “Block and Delete” button. The item will be deleted from the Activity Feed and the number or email will no longer be able to send that Org messages.
Blocking in the Mailroom
- Find the message. In the mailroom, locate the message from the sender you’d like to block. Expand the email, fax, or SMS Note by clicking on it.
- Click the “Block” icon. Click on the “Block” icon in the top righthand corner of the item. (If you are not an Org Admin, you will not see this icon.)
- Confirm. In the confirmation pop-up, you will be asked if you want to permanently block the sender and delete the message. This action cannot be undone. Verify that you would like to permanently block this sender across your entire Org. Once you have verified, click on the “Block and Delete” button. The item will be deleted from the Mailroom and the number or email will no longer be able to send that Org messages.
