Docs+ PDF is part of Filevine’s Docs+ Features, which also includes Docs+ Combiner and OCR and Indexing. If you are interested in Docs+, contact your Filevine rep to learn more.
Users can annotate, comment, sign, and more in .pdf documents within Filevine. This article discusses how to use advanced options in Docs+ PDF Editor, including optimizing, rotating, making enhanced redactions, and more.
To navigate to the left-hand panel with advanced options, select a document and click the document’s properties menu. Select Edit Doc. You can also open document editing from the preview screen by clicking on the Edit Doc icon in the top right corner. In the PDF Editor, click the panel icon in the top left corner.
Save As
All changes made to the document must be saved before closing the editor. Save by clicking on the save icon in the top right corner. Make sure to wait until the document has finished saving before closing.
You can also “Save As” to make a copy of the document by opening the left-hand panel and clicking the Advanced Options tab icon on the right.
In the panel, adjust the document name as desired and then save. A copy of the edited document will appear in the Docs section.
Optimize
Optimize the .pdf to reduce the file size and make sharing the document easier. Open the lefthand panel and click the Advanced Options tab on the right. Then, click the arrow next to Optimize PDF and select Start Optimization.
Insert
Insert pages from one document into another .pdf document using the insert option. If you would like to combine several documents together, the Docs+ Combiner will be a better fit for your needs.
Open the left-hand panel, and click the Advanced Options tab on the right. Click the arrow next to Insert pages from another PDF. Search for and select a .pdf, .docs, .xlsx, or image file from the project or upload a file from your computer. When you’ve selected the file you would like to insert, click Next.
The next panel will give options for which pages of the document you would like to insert and where. You can leave the first textbox blank to insert all pages of the document, or choose one or multiple pages to insert by listing separating by commas (1, 2, 5) or giving a range (2-4).
In the second textbox, enter the page number of the document where you would like the new pages or file to be inserted. The new pages of the file will be inserted after the page number entered here.
When you have chosen the pages to insert and where in the document to insert them, click Insert Pages. The document will have new pages inserted. If you’d like to save this document with inserted pages as a separate copy, you can Save As.
Search and Redact
Multiple redactions in a document can be made at once using Search and Redact. Single redactions can still be made using the Redact tab in the ribbon.
Open the left-hand panel and click the Advanced Options tab on the right. Select Search and Redact.
Enter the term you’d like to redact in the search box. All instances of that term are highlighted in the document and listed in the search panel on the right. The term and number of instances are listed under the search box.
You can use the search panel on the right to review instances of the term. Click a highlighted instance in the document, and select the checkmark to redact just this instance individually, or select thetrashcan to keep this instance and remove it from the list for enhanced redaction.
You can search additional terms to add them to your enhanced redaction. All terms you are redactingand the number of instances marked for redaction will be listed under the search box. To remove the instances of these terms from the redaction, click the red “X” next to the item in the list.
Once you’ve marked all desired items for redaction, click Redact All. All chosen items will be redacted. Make sure to save the document before exiting the PDF Editor. The redactions are saved in a new version of the file.
Bookmark
Open the lefthand panel and click the Outline tab in the middle. If the document already has bookmarks, you will see them listed here. When a bookmark is selected in the outline, the document will automatically scroll to that page.
To create a bookmark, scroll to the page you’d like to bookmark and click + Add Item at the bottom of the panel and enter a name for that bookmark. To delete or rename a bookmark, click the ellipsis to the right of that bookmark and select the desired option.
Organize
Newly-created bookmarks will be placed in the outline directly below the selected bookmark. To reorder a bookmark in the outline, select the bookmark and use the reorder arrows to move it up an organization level or up in the list. Bookmarks with carets next to them can be expanded to reveal nested bookmarks.
Manipulate
Users can manipulate documents by
- deleting
- extracting
- reordering
- rotating
Open the left-hand panel and click to the Thumbnail view of the document on the left. Options for manipulating the document, like rotating, deleting, and extracting, appear in an ellipsis menu under each page of the document.
If multiple pages are selected, the menu appears beneath the bottom selected page. If you use the box at the bottom of the thumbnail view to select multiple pages, these options appear at the top of the view.
Delete or Extract
Delete a single page in a document by clicking on that page in the pages/thumbnail view and then selecting the trashcan icon below it.
To extract or delete a range, enter the range of pages you would like to manipulate at the bottom of the panel and click the trashcan icon or the extract icon at the top. Once pages have been extracted, they will be downloaded to your computer’s default download folder with the title “Extracted pages from [ORIGINAL DOC TITLE].”
Rotate
Rotate a single page of the document by selecting it in the thumbnail view and then using the rotate clockwise icon beneath the thumbnail. You can also click the ellipsis menu to rotate counterclockwise.
Rotate a range of pages by entering the range in the field at the bottom of the panel and selecting the rotate option at the top.
Reorder
To reorder, click and drag the page you would like to move to the new place in the outline.
You can also select a page and click the ellipsis menu to move the page to the top or the bottom of the document.
Multi-Select
Select multiple pages in a document by holding the control key (or command on Macs) and selecting the desired pages in the thumbnail. Once pages are selected, you can use the rotate, delete and extract buttons on the bottom of the panel, or drag and drop the pages to reorder them on the thumbnail menu.
