Annotate, comment, sign, and more in .pdf documents within Filevine. This article gives an overview of how to navigate view, search, and save in the PDF Editor, as well as how different versions of edited PDFs will appear.
This article does not discuss the options available in the center ribbon of the editor. To learn about these options, read Center Ribbon Options.
How to Edit Other File Types
To edit Microsoft Office files, or to edit PDFs and images using your preferred software, refer to the additional methods listed in the Document Editing Overview article.
You can also edit non-PDF docs and image files within the PDF Editor. However, the edited files must be saved as PDFs. When saving, you’ll be prompted to save the file as a PDF document, which will be saved in the same folder as the original file.
Open and Save
To edit a .pdf, select a file and click on the document’s properties menu. Select Edit Doc. You can also open document editing from the preview screen by clicking the Edit Doc icon in the top right corner. This action opens the PDF Editor tool.
Once you’ve made the desired changes, click the Save icon in the top right corner to save all edits to the document. All changes made to the document must be saved before closing the editor. Make sure to wait until the document has finished saving before closing. Learn more about saving and making copies of documents.
If you are saving changes to a docs or image file, you will be prompted to save the file as a .pdf, which will be saved in the same folder as the original file.
Edit and Annotate
A wide variety of edits can be made to .pdf documents, from highlighting text and signing to crop and extracting the document.

Settings and View
By using the settings and view menus, you can turn on dark mode, view keyboard shortcuts, compare documents side-by-side, and adjust the zoom and orientation.
Settings
Open the settings menu by clicking on the hamburger icon ≡ in the top left corner of the PDF Editor. Then, select Settings from the dropdown.
In the General section, you can change the language and select light or dark mode.
You can also click Keyboard Shortcuts to view and edit a list of keyboard shortcuts available for the PDF Editor.
Compare Pages
To see a side-by-side comparison between the document and a document on your device, click on the document icon on the left side of the top menu and select Compare pages from the dropdown.
The PDF Editor adjusts to view two documents. Click Browse Files or drag a file from your device to upload a document for comparison. The two files are displayed side-by-side.
Click Start Comparison. Any differences between the documents will be highlighted for you to view.
Zoom and Orientation
Adjust the zoom level for the document by pressing the plus and minus icons in the ribbon, or by clicking on the dropdown next to these icons and changing the percentage.
Change interaction with the document by switching the mouse between the hand, which can grab and scroll the document, and the arrow, which can highlight text. Change the view of the document—viewing multiple pages at a time, for instance.
Heads Up!
The rotation options in this dropdown rotate for your view only, and do not save the document in its rotated form. To rotate and save the document, use the thumbnail view and click to rotate each page of the document.
Print and Download
Print or download the document by clicking on the print or download icons in the top right corner, above the ribbon bar.
For PDFs, clicking the print icon gives you the option to print either with the annotations you’ve added to the document or without them. Select your desired option to print.
Comment
Click the speech bubble icon in the ribbon to open the comment and annotations panel, where you can see and search a log of all edits and comments, including edits made in prior versions.
Search
Search the document text by clicking the magnifying glass icon in the ribbon. Enter the desired text, use the case sensitive and whole word option to refine your search, and use the arrows to navigate back and forth between multiple occurrences.
Versions
Any time the document is saved in the editor, it will be saved as a version of that document. All old versions can be viewed in the document’s properties flyout under the Versions tab. Previous versions can be downloaded or previewed by clicking on the version name.
Documents can be restored to prior versions by hovering above the document name and then clicking on the refresh icon to the right.
