Generate a secure link to a project document that can be shared with users outside of Filevine. You can choose the level of access and expiration date.
Note
Share links will update to the latest version of the document. If a document is edited or a new version is uploaded, the share link will display the new version.
Generate
In the Docs section of your project, select the desired document. Click the vertical ellipsis ⋮ and select Share Link from the dropdown. This action opens the “Create Doc Share Link” modal.
Sharing Multiple Documents
You can also create a share link for multiple documents or folders in the Docs section. Hold Ctrl (⌘ for Mac) and select the folders and files you’d like to include in your share link. In the menu along the top, click the link icon to open the “Create Doc Share Link” modal.
When sharing folders, you can expand the “Included Folders” dropdown in the modal to confirm the folders being shared. All included folders are highlighted in blue. To add or remove folders, click Cancel in the modal and re-select the desired folders.
Heads Up!
Be cautious when sharing entire folders, as all documents in that folder will be included.
Permissions Options
Once you’ve selected the desired document(s) or folder(s) to share, you can configure viewing and expiration options in the Create Doc Share Link modal.
Underneath the “Who can view this doc” header, choose from the following permission levels:

Anyone with the link: as the name suggests, this option allows anyone who receives the link to view and download the selected file(s).

Only people with the password: enter and confirm the desired password for this share link. Those who open the link will be required to enter this password before they can view or download the file(s).

Only specific Filevine users: search for and select the desired users in your Filevine Org. Those who open the link will be prompted to sign in to Filevine, and will only be able to view or download the selected file(s) if their user profile has been granted access.
Enable Two-Way Sharing
Two-way share links allow recipients to not only view and download files, but also upload their own files. In order to set up two-way sharing, you must:
- be a project Admin
- include one or more folder(s) in the share link
- set the link permission level to Only people with the password
Once these requirements have been met, you can select Enable 2-Way Sharing in the modal.
Any file that has been uploaded from the two-way share link screen will be marked External User in the docs list. The name and email of the uploader are included in the Details tab of the properties flyout.
Expiration Options
By default, share links expire after 60 days. To change the expiration period, select one of the options from the dropdown menu or select Custom and enter your own. The expiration date and time will be displayed just beneath the “Expires” header.
Share
Once you’ve chosen the desired viewing and expiration settings, click Save to generate the share link. The link will appear at the top of the modal, with the option to either copy the link to your clipboard or to share it via email.
If you've set up the auto-CC email feature in Filevine the project email will also be CCed to the email, meaning that any additional email to and from the recipients will be forwarded to the project’s Activity Feed.
Manage
In the Docs section, any folder or file that has been shared will be marked with a person icon. To view, copy, and edit existing share links, open the document’s properties flyout and find the Links tab. In this tab, all active share links are listed.
Remove
To remove a share link from a document, find and select the link you’d like to remove. In the “Edit Doc Share Link” modal, click Remove Doc Share Link.
Users who attempt to open a share link after it has been removed will see the following error message:
Recipient Experience
When recipients open a share link, they will see the folder navigation view (if folders were shared), the document list, and the doc previewer. Recipients can navigate through the folders and subfolders, search documents, and adjust the view settings for the document.
Click Download to download either a single document or all of the documents in the selected folder, which are displayed in the doc list in the center.
Upload via Two-Way Sharing
Recipients of a two-way share link have the additional option to upload documents by clicking Upload.
This action opens the “Upload Files” modal. Uploading a document requires you to input your name and email address. This information will be shown in the document’s details in the Filevine project.
Choose your destination folder, and then click Add Files and select the desired files from your device. Click Upload.
The destination folder in the navigation view will show the uploading progress. Once the upload is complete, the uploaded documents will display in the chosen folder.
