DemandsAI is a document workflow for generating demand letters, using both Filevine and Outlaw. DemandsAI required the use of a partner and of FVDA.
The demand will be generated in an Outlaw widget, which can be added to the project template in the Customs Editor.
Overview
To start a DemandsAI workflow, you will select the desired template workflow, attach any relevant files, review and confirm the case information, and then send the request.
Once the request is sent, the partner will draft and review the demand letter, and send it back to the user for final review and completion, at which point the user can download and use the demand letter.
Send Request
In the project, navigate to the Outlaw widget field set up for DemandsAI. If prompted, select the correct template from the dropdown. Edit the name of the demand document.
Once a DemandsAI template has been selected, the doc selector appears. Here, you can attach any documents the partner may need access to in order to craft the demand letter.
Once you have added all relevant documents, click Send Request under the doc selector. Clicking Send Request will grant the partner guest access to the project, with access to the Activity Feed and access to the documents attached here.
Confirm Case Data
Once the request is sent, the generated document will appear beneath the doc selector with the Outlaw step “Setup,” with any attached documents beneath it. Click the generated document to open the Document Slideout.
Review and select the case data by clicking through each field and selecting the desired options. For example, you might click on the field Select Medicals. In the opened modal, you can view the collection items in the project’s Meds section.
Select the appropriate medicals data from this list, and click Update. Continue this process for all fields.
Once you have reviewed and filled the fields, click the Confirm button at the bottom of the document. You will be asked to confirm, and you will receive an estimated time for when the document will be ready for review. Click Confirm.
Once you have confirmed, the document will include a note that the document has been submitted, and the document’s Outlaw step will switch from “Setup” to “Request.”
Review
Once you have confirmed the case data and submitted the document, the partner will generate and review the document. You will see the document move through Outlaw’s workflow steps as it is accepted and reviewed. Outlaw workflows are customizable, so your steps may depend on the partner you are working with.
Once the partner has finished creating and reviewing the document, they will move it to the next Outlaw step—usually “Review” or “Reviewing.” When the document is moved into this step, you will receive an email notification. Your partner can also communicate with you in Filevine, through the Activity Feed or comments on the document. When the document is moved into this step, you will be able to view the generated document in the Document tab of the Document Slideout.
Review the generated document, adding comments, redlining, or otherwise communicating with the partner to address any issues or additions.
When the document is ready to finalize, click on the Outlaw step dropdown and move the document to the Complete step.
Download Documents
Once the document is reviewed and moved to the Complete step, you can download the document. Like other documents generated with the Outlaw widget, the demand letter is a .vine file.
To view downloading options, click on the vertical ellipsis to the right of the generated document.
You have the following download options:
- download the demand letter as a .vine file
- download the demand letter and all the attached files, all as separate files
- download a zipped file of the demand letter and all attached files
- combine some or all of the files into one
If you select Combine, a Combine Docs flyout will open, where you will be able to reorder, add, and remove the files.
To reorder files, click and drag the dots to the left of a file. To add a file from your computer, click select files for upload. To remove a file, click the minus icon to the right of the file. Files that have been removed will appear beneath in a Not Included Documents section, where they can be quickly re-added if needed.
