The Security section of the Account Manager tool allows users to change their password and set up multi-factor authentication methods. Depending on your login type, you may need to contact your Account Admin to adjust these settings.
Heads Up!
Users will now be required to set up at least one verification method before accessing their respective Filevine product(s). To learn more, read the MFA Requirement article.
Verify Identity
When you initially open the Security section, the Change Password and Multi-Factor Authentication tools are locked. To unlock them and change your password or MFA methods, you’ll need to reverify your identity. Unlocking one tool also unlocks the other one.
Underneath either tool, click Edit. Retrieve and enter the verification code from your email, text messages, or authenticator app. To send a code to an alternate verification method you’ve enabled, click Use another verification method and choose the desired method.
Tip
Verification codes only last 20-30 seconds. If you enter the code and receive an error, your code may have expired.
Once verification is complete, both tools will be unlocked. They remain unlocked until you sign out or until your session expires.
Change Password
To change your password, follow the steps in the previous section to verify your identity and unlock the Change Password tool.
Enter your current password in the Previous Password field, and then enter and confirm your new password. Make sure your new password meets all the displayed requirements. Click Save Password.
You’ll see a message along the bottom indicating whether your password change was successful.
Multi-Factor Authentication
Multi-factor authentication (or MFA) adds an extra layer of security to your account by requiring both a password and a second verification step during login.
Heads Up!
Setting up MFA is critical for both the security and recovery of your account. For instance, if you lose your phone and cannot retrieve SMS verification codes, you can simply send a code to your email and sign in without disruption. Similarly, if you lose email access, you can use SMS or an authenticator app to sign in.
However, if you lose access to your email and have no alternate methods enabled, you will be unable to sign in or update your account details. An Account Admin will need to re-invite you as a new user and transfer all your assignments from your previous profile.
To set up or update your verification methods, follow the steps above to verify your identity and unlock the Multi-Factor Authentication tool. There are two methods available. (Email is automatically enabled as a backup method for all users.)
Set Up Text Message (SMS)
The text message (SMS) method will send verification codes to your phone, and will incur any standard texting fees from your cell phone provider.
For text message verification, make sure you have your phone nearby. Next to “Text Message (SMS),” click Set Up. Enter your phone number in the flyout and click Send Text.
You will receive a text with a verification code. Enter the code and click Verify to register your phone. The text message method will now be enabled for MFA.
Set Up Authenticator App
The authenticator app method requires you to install an authenticator app on your smartphone.
There are a variety of applications you can use for multi-factor authentication. Below are a few examples. Follow these links to download, or search for these or other authentication applications in the app store on your mobile device.
- Google Authenticator (Android | iOS)
- Authy 2-Factor Authentication (Android | iOS)
- Microsoft Authenticator (Android | iOS)
Install the application, open, and select Scan a QR code. In Filevine, next to “Authenticator App,” select Set Up. Use your phone to scan the QR code that appears in Filevine.
Enter the verification code from the app into Filevine and click Verify. Your authenticator app will be enabled for MFA.
Set Default Method
When you sign in to a Filevine product, verification codes are initially sent to whichever method is currently the default for your user profile. Typically, the method most recently added becomes the default.
To change your default method, select the vertical ellipsis ⋮ next to the desired method, and then click Set as default.
Update Text Message (SMS) Number
To change the phone number for SMS verification codes, first make sure you’re using another MFA method as your default method. The default verification method cannot be edited.
Note
If you’re unable to switch to another default method, you can ask an Account Admin to reset MFA for your account instead. This action will remove your current MFA methods, and you can follow the steps above to set up your new phone number for SMS verification.
Once text message is no longer your default, select the vertical ellipsis ⋮ next to “Text Message (SMS),” and then select Edit. Follow the on-screen steps to add a new phone number.
If applicable, make sure to set the text message method as the default again when you’re finished.
