This article discusses how to configure and deploy Filevine’s Outlook Add-in in Microsoft 365 as an IT administrator. Because the add-in requires access to Microsoft Graph API permissions that end users cannot self-approve, it is recommended to grant these permissions in advance before rolling out the add-in to your users.
Heads Up!
Already deployed the add-in? To prevent future disruptions, your organization should still follow the steps in the Grant Admin Consent section below.
Otherwise, existing users may become blocked from using the add-in until an administrator approves the required permissions.
Required Permissions
The Outlook Add-In requires the following Microsoft Graph API permissions. All permissions are delegated, meaning the add-in acts on behalf of the signed-in user and cannot access data beyond what that user can access.
| Permission | Description | How Filevine Uses It |
|---|---|---|
| User.Read | Read the signed-in user's basic profile | Identifies the user so their activity can be associated with the correct Filevine account. |
| Mail.Read | Read emails in the user's mailbox | Displays email content within the add-in so users can review and save emails to Filevine projects. |
| Mail.ReadWrite | Read and modify emails in the user's mailbox | Applies the Attached to Filevine category tag to emails after they are saved to a project. |
| Mail.Send | Send email on behalf of the user | Allows the user to send emails via the add-in. |
| MailboxSettings.ReadWrite | Read and modify mailbox-level settings | Creates the Attached to Filevine category (with color) in the user's Outlook category list. This setup operation happens one time only per user. |
Grant Admin Consent
Because several of these permissions require administrator approval, we recommend granting admin consent at the tenant level before deploying the add-in to your users. This action eliminates any consent prompts for your users during installation.
The fastest way to grant admin consent is via Microsoft’s Admin Consent link. You will be prompted to review and approve the required permissions on behalf of your organization.
Permission Required
You must be signed in as a Global Administrator or Cloud Application Administrator in your Microsoft 365 tenant.
Grant via Microsoft Entra
Alternatively, you can grant consent manually through the Microsoft Entra portal if desired by following these steps:
- Sign in to Microsoft Entra. Navigate to https://entra.microsoft.com/ and sign in as a Global Administrator or Cloud Application Administrator.
- Navigate to Enterprise applications and search for Filevine. In the lefthand side menu, find and select the Applications section, and then select Enterprise applications. Search for and select the Filevine application.
- Grant admin consent. Along the lefthand side, select the Permissions section. Click Grant admin consent for [organization name].
- Accept requested permissions. Review the requested permissions, and then click Accept.
Deploy to Users
The Filevine Outlook add-in can be deployed to your organization in two ways, depending on whether users manage their own Outlook add-ins.
Centralized Deployment
For organizations where IT manages software installation, centralized deployment is recommended. This approach allows you to push the add-in to specific users, specific groups, or the entire organization—bypassing the need for each user to install the add-in.
- Sign in to the Microsoft 365 admin center. Navigate to https://admin.microsoft.com/ and sign in as a Global Administrator or Cloud Application Administrator.
- Navigate to Integrated apps. In the lefthand side menu, find and select the Settings section, and then select Integrated apps.
- Open the app catalog and search for Filevine. In the Integrated apps section, click Get Apps to open the Microsoft AppSource catalog. Search for Filevine and select the Filevine Outlook Add-In.
- Choose your deployment scope. Choose whether to deploy the add-in to specific users or groups, or to the entire organization.
- Deploy.
The add-in will appear in Outlook for your selected users automatically, typically within 24 hours.

Individual Installation
If users manage their own Outlook add-ins, they can install directly from AppSource. Users will not encounter any permission prompts during this process, provided that admin consent was granted in advance.
To install the add-in:
- Outlook Desktop: click the Get Add-ins button in the ribbon along the top.
- Outlook for Web: compose a new message, click the ellipsis icon at the bottom of the message, and select Get Add-ins from the dropdown.
In the opened modal, use the search bar in the top right to search for “Filevine.” Find the Filevine add-in and click Add.
