Configure automated communication and set up language translation options in the Communication section.
Notifications
Under the Notifications tab, you can customize the email or SMS messages that clients receive in three instances:
- initial invite: this message is sent to the client via text or email when you invite them to the client portal, along with a link to activate their account.
- project update: this message is sent when you change the project’s phase in such a way that the client-facing timeline is updated. (Learn more in the Timelines article.)
- new message: this message is sent when you send a client portal message to the client.
For example, if a client is invited to the Client Portal via their SMS number, and a new message was sent to them in the Client Portal, then the client would receive a text with the “SMS Message / Push Notification” text entered in the New Message fields. Notifications are only sent via each contact's currently-selected contact method, and then via push if they download the PWA and opt in.
Email Logo
You can also upload an image to be used as a logo in emails. The image uploaded here will be displayed at the top of emails sent from the Client Portal. We recommend uploading images that are wider than long.
Customize Notification Messages
If you support multiple languages, and you’d like to edit the notification messages in a different language than the default selected in Language Support, adjust the Editing Language.
The “SMS Message/Push Notification” field is used for clients who haveusing SMS or push notifications as their notification method. The email header and body fields are used for clients who receive their notifications via email.
To customize each field, edit the default text as desired. Use the buttons at the top of any Email Body fields to add formatting. You can also use variables in any field. Click Add variable and select the First Name, Full Name, or Business Name from the dropdown. The respective information will automatically be filled when the notification message is sent.
Restore Defaults
To restore the template message on any of the fields, click Restore Defaults.
In the Restore Defaults modal, select the messages you’d like to restore to the template message and click Restore.
Automated Messages
In the Automated Messages tab, customize the welcome message that clients receive within the portal. This is the first message the client sees in their portal Message section upon accepting their invitation. (This message can also be viewed in your project’s Activity Feed.)

Restore Defaults
Automated Messages are pre-filled with template messages. To restore the template message, click Restore Defaults.
In the Restore Defaults modal, select the messages you’d like to restore to the template message and click Restore.
Language Support
Note
The entire portal will be automatically translated for your client based on their browser’s language settings. The portal currently supports the following languages: Spanish, Chinese, Portuguese, French, Hindi, Russian, Korean, Turkish, Haitian Creole, Vietnamese, Tagalog, and Arabic. If the client’s browser’s selected language is not supported, the portal will remain in English.
Regardless of the client’s browser settings, portal messages always stay in the language they were originally written in. Language support for portal messages, automated messages, and forms can be managed in this tab.
In the Language Support tab, you can select your language options. The Client Portal supports English and Spanish. To allow Spanish options, select Spanish under Supported Languages. This option allows you to select Spanish as your default language or editing language and gives you the ability to send client notifications in Spanish.
Select your default language. This is the language that notifications and automated messages appear in by default. The language can be changed client-by-client when sending an invite.
Form Responses
Translation options for Forms can also be selected here. Learn more about Forms translation.
- When the Translate to English option is selected, form responses will be translated to English in the Filevine project.
- When the option is not selected, form responses in other supported languages (Spanish) will not be translated.
- In any case, form responses in unsupported languages will be translated to English in the Filevine project.
Note
The .pdf of the form, which is added to the project upon client submission, will always contain the client’s exact, untranslated responses.
