In the Payments App, select the Settings section to choose which payment method options are available to your clients, set up your dedicated fee processing account, and edit your client-facing business details.
Transaction Types
In this section, you can decide which payment methods are available to your clients when making a payment.
Credit card is always enabled as a payment method option. ACH Payments can be toggled on or off depending on your firm’s preferences.
Lastly, you have the option to enable Klarna as a “buy now, pay later” option for your clients. When clients pay with Klarna, you receive their payment upfront. The client will be able to pay Klarna back in installments. Select the toggle to enable Klarna as a payment option.
Convenience Fees
Firms have the option to pass credit card processing fees down to the client as a convenience fee. This option will apply to credit card transactions only. For legal reasons, additional fees cannot be applied to debit card transactions.
Before enabling convenience fees, you must submit the required disclosure form to Mastercard. Mastercard requires advance disclosure before merchants can begin surcharging processing fees to their clients. Once you have submitted the required form to Mastercard, toggle on Pass through credit card fee charges to customer to enable convenience fees.
When this setting is enabled, clients who access the Payments portal are informed that a convenience fee may apply to credit card transactions. After entering their payment details, the client can then review the surcharge and updated total before submitting their payment.
When you view the completed transaction in Payments by Filevine, the Processing Fee displays as $0. The amount paid by the client is displayed in parentheses.
Heads Up!
While certain financial institutions like American Express have higher processing fees, surcharges to the client must be applied at the same baseline rate. In these cases, any remaining unpaid portion of the processing fees will be collected from your firm's dedicated fee account.
Fee Processing
To comply with IOLTA, payment processing fees must be charged to a standard account and not a trust account. Filevine Payments collects processing fees from a single dedicated account of your choosing.
To set up the bank account for processing fees, select Add Bank Account under the Fee Processing header, and follow the steps for the account onboarding process.
Once the account has been connected, the last four digits of the account number are displayed in the Fee Processing section. To switch to a different account, click Update Bank Account and follow the account onboarding process once more.
Business Settings
To edit your business name as it appears to clients in the payment portal, click Edit next to “Business Name.” In the Edit Business Name flyout, enter the desired client-facing business name and click Save.
To edit the business email that receives all notifications related to Payments by Filevine, click Edit next to “Business Email.” In the Edit Business Email flyout, enter the desired email address and click Save.
Branding
In this section, you can upload your company logo. This logo replaces the Payments by Filevine logo in the payment portal—helping your clients immediately recognize where the payment request came from.
Either drag and drop your logo into the “Drop file here” box, or click upload a file to choose the file from your device. Supported file types: .png, .jpg, .jpeg.
Once uploaded, you can see how the logo will appear to clients by clicking Preview underneath the uploaded logo.
To replace the logo with another file, click Upload new file and choose the desired file from your device. To revert back to the default Payments by Filevine logo, click Delete, and then click Delete again to confirm.
