Docs+ users can name the different versions of a document and add a descriptive note about each version, allowing them to easily keep track of document versions.
In a project’s Docs section, navigate to the document version by clicking on a document and selecting the Info icon. Click on the third tab in the flyout to view the versions.
Versions Groups
Versions are listed from most recent, with the current version at the top. With enhanced versions, versions are grouped by time period—today, last week, and months—so that you can more easily get an overview of the timeline of different versions.
OCR Versions
When a document is OCRed, a new version is created. With enhanced versions, the OCR version is automatically noted “Automatically created by OCR.”
Edit Version Info
To change the version name or add a description, click on the vertical ellipsis next to a version and select Edit Version Info. (You cannot edit the version info for versions automatically created by OCR.)
Version Name
In the Edit Version Info modal, you can adjust the version name to make it unique to this version and let you and other users know the status of the document. For example, you might call this version “Doc Name - Draft 3” or “Doc Name: SIGNED.”
By default, the version name appears for this version, but it does not affect the document’s name. If you’d like to change the version name and also rename the document, select Set as default document name.
If you download a version of a document, the downloaded file will have the name of the version.
If you restore a document to a previous version, the new version will automatically have the name of the version you restored the document to.
Description
You can also add a description to the document version. Descriptions appear in the version tab under the version name.
Descriptions can serve as helpful indications of what changes were made to a document or why it was changed. For example, you might add “fixed a broken link” or “reviewed by all parties” as descriptions.
Both the name field and the description field are limited to 255 characters.
