Once a proceeding has started, Depo CoPilot begins transcribing and analyzing goals and insights. This article discusses how to start recording and then review Depo CoPilot’s transcription, goal analysis, and insights.
Start Recording
Before Depo CoPilot can provide live transcription, goal analysis, and insights, you must start recording. You can either use your own microphone to record, or allow Depo CoPilot to join the meeting if it is hosted remotely.
Tip
When you schedule a hosted proceeding through Depositions by Filevine, you won’t need to remember to start the recording. Depo CoPilot automatically joins the hosted proceeding as “Reporter Backup Device.”
Navigate to the desired case and proceeding in Depositions by Filevine. In the Actions panel on the right, click Open Depo Copilot.
In Depo CoPilot, click Start Recording to choose your recording method. In the modal, select one of the two available methods:
Record with Remote Link
To record from a virtual meeting, select Record with remote link.
In the Video Meeting Link field, enter the link to your meeting. Nearly any meeting link will work here—simply include the entire link you would normally click on to join a meeting. If a password is required, include it in the link.
In the Depo CoPilot Bot Name field, enter the desired name for the Depo CoPilot bot. When you start recording, this name will appear in the meeting as an additional attendee.
To add Depo CoPilot to the meeting and start recording, click Start recording.
Alternatively, you can click Save only to save the meeting link and bot name without starting the recording. That way, when it’s time to join the proceeding, you can return to this modal with the meeting information pre-populated and simply click Start recording.
Record with Mic
To record with your microphone, select Record With Mic. Make sure your mic is active and that you’ve allowed microphone access. Click Start recording.
The recording will begin immediately, using your device’s microphone.
Once recording has started, you can manage the recording and analysis using the menu bar along the bottom:
- Go Off the Record: Depo CoPilot will continue to record and transcribe, but utterances will be excluded from AI analysis.
- Go On the Record: Depo CoPilot will resume including utterances in AI analysis.
- End Recording: Depo CoPilot will stop recording and leave the meeting. Once recording has ended, it cannot be restarted for that proceeding.
Upload a File
If you have the recording of a proceeding that already happened, you can click Upload a File and upload the recording. Depo CoPilot will listen, transcribe, and then share any relevant insights from the recording. Supported file types include: .wav, .mp3, and .mp4. View the full list of accepted file types.
Live Transcript
The Transcript section includes a timestamp for each piece of text, separated by different speakers talking. Each utterance is characterized as a question, an answer, or a 3rd party statement. The transcript also indicates when you went on and off the record, with off-the-record utterances grayed out.
Tip
When you record using a meeting link, the transcript shows each speaker’s name and utterance rather than the standard question-answer format.
You can search the transcript for key words by using the search box at the top right. The search returns results, listed along the right side. Select a result to see it in context in the full transcript.
Processing Time
When you record with your microphone, the audio is processed and transcribed in two-minute increments. This processing time results in about two minutes of latency between the live audio and Depo CoPilot’s transcription. Once an increment has been processed, related analysis for goals and insights will also be available.
When you record using a meeting link, the audio is processed and transcribed immediately. Related analysis for goals and insights will be available every 5 minutes after the 10 minute mark, and then every 10 minutes after the 40 minute mark.
Audio Playback
During and after the proceeding, you can replay the recorded audio if desired. This is useful if you need to verify the transcript's accuracy or listen for inflections in the speakers' voices.
In the Transcript section, find the audio player in the lower left corner. Click the play button to play the recording. You can adjust the playback speed and jump forward or backward in five-second intervals.
As you listen, the currently-playing utterance is highlighted in the transcript. To jump to a specific point in the recording, hover over the desired utterance and click the play button.
The audio player does not display by default in the Goals and Insights sections. However, when the transcript is referenced, you can hover over each utterance to find the same play button. Clicking that button will reopen the audio player and play the recording from the respective utterance.
To download the recorded audio from the proceeding in .mp3 format, click the download icon in the top right corner.
Goal Analysis
In the Goals section, Depo CoPilot will periodically suggest a status of either At Risk or Accomplished for each goal with supporting references from the transcript. If no references can be gathered for the goal, then Depo CoPilot will suggest the At Risk status by default. In addition, goals with new or updated references will display an Updated badge.
Tip
Once Depo CoPilot begins analyzing a goal, you can no longer edit the goal’s title and details. However, you can add additional goals during the proceeding if desired.
To confirm or reject Depo CoPilot’s status suggestion, click the thumbs up or thumbs down icon, respectively. You can also change the goal’s status using the dropdown, choosing between At Risk, Open, or Accomplished.
To filter the list of goals by status, expand the “Status” dropdown along the top and choose between All, At Risk, Accomplished, or Open. Goals can only be reordered when the “Status” filter is set to All.
Analysis and References
Select a goal to view Depo CoPilot’s analysis and references. Each reference includes a timestamp and a speaker, with the surrounding transcript context displayed below. If Depo CoPilot has gathered multiple references, you can either expand the “Referenced Data” dropdown or use the left and right arrows to click through them.
As Depo CoPilot continues to process and analyze the live audio, it may periodically dismiss references that are no longer relevant. To manually dismiss a reference, click Dismiss. Dismissed references are moved to the end of the reference list, with a note indicating that the reference may no longer be relevant (for AI-dismissed references) or that the reference was dismissed (for manually-dismissed references).
To restore a dismissed reference, click Keep. The reference will return to its original placement in the reference list. If you restore an AI-dismissed reference, it will not be dismissed by AI again.
Document Analysis
Depo CoPilot also automatically cross-references your goal’s attached documents with the live transcript.
For example, let’s say you set a goal to identify inconsistencies in a witness’s claims about something, and you attach a document with their written statement.
During the proceeding, you’ll receive insights that cross-reference the live testimony against your attached document. Whenever a document is referenced, Depo CoPilot will include a link to open and view that document.
Insights
Throughout the proceeding, Depo CoPilot collects insights in the following three categories:
- Find Inconsistencies
- Follow-up Questions
- Unanswered Questions & Ambiguous Answers
These categories are displayed in the lefthand side menu, along with a count of insights for each category. Select an insight type to view the insights in that category.
Like goals, each insight includes an analysis with supporting references from the transcript. Each insight card displays a count of the total references in the lower right corner. Newly generated insights will display a New badge. Existing insights with new or updated transcript references will display an Updated badge.
Select an insight in the list to view, dismiss, or restore its transcript references in the same way as goal-related references.
Dismiss and Restore Insights
In addition to individual transcript references, Depo CoPilot may periodically dismiss an entire insight that is deemed irrelevant or outdated. To manually dismiss an insight, click Dismiss.
Dismissed insights are moved to the end of their respective list, with a note indicating that the insight may no longer be relevant (for AI-dismissed insights) or that the insight was dismissed (for manually-dismissed insights).
To restore a dismissed insight, click Keep. The insight will return to its original placement in its respective list. If you restore an AI-dismissed insight, it will not be dismissed by AI again.
Note
Dismissing all transcript references for an insight will also dismiss the insight itself.
