AI Doc Review allows you to use the power of AI to extract and organize information from documents. Select a document in the Docs section and a custom or built-in prompt, and AI Doc Review will generate a new document with the extracted, summarized, and organized information.

Select a Prompt
In a project’s Docs section, select any OCRed or indexed document. Documents available for AI Doc Review will display an AI sparkle icon in their action bar when selected. (When a document is first uploaded, it may not be available immediately for AI Doc Review. Once the document has been OCRed or indexed, it will become available.)
Select the document, and then click the AI sparkle icon to open the AI Document Review flyout. In this flyout, you have the following options:
Write a Custom Prompt
To create your own custom prompt, select Write a Custom Prompt. Enter your desired prompt. You can click one of our suggestions to enter prompt text and help you get started.
In this step, you can choose to save the prompt and share it with your Org. To save or share prompts, write a custom prompt, and click Save Prompt. In the modal, select a document type, and then give your prompt a name and description. If you’d like other users in your Org to have access to this prompt, select Share with your Org.
When you’re satisfied with the prompt text, click Next to use this prompt.
Tip
Once you use a custom prompt, you can access it again in Recently Used, which lists your five most recent prompts. If you saved the prompt, you can also access it in the Saved Prompts tab.
Filevine Prompts
Use one of Filevine’s built-in prompts. Click Filevine Prompts and search the prompts, or select a document type to filter to the most relevant prompts. The prompts here match the AI Doc Review analysis types.
Saved Prompts
The Saved Prompts tab in the flyout contains all custom prompts that you have saved or that other users have saved and shared with your Org. Use the search bar to search saved prompts by title or description.
If a saved prompt has been shared, it will also include a note indicating the original creator. Click on a prompt in this list to select it.
You can click on a saved prompt’s vertical ellipsis menu to edit, duplicate, or delete the saved prompt. If you are not the original creator of the prompt, only the “duplicate” option will be available.
Recently Used
The Recently Used tab includes your five most recent custom prompts, including saved prompts.
Use the search bar to search these prompts by title or description. Click one of these prompts to bring up the prompt text in the custom prompt field. Here, you can adjust the prompt text. When you’re satisfied with the prompt text, click Next to use this prompt.
Choose the Destination Location
Once the prompt has been selected, click Next. Select the file type of the output (PDF or DOCX), and enter the name of the document. The output file will be saved in the same folder as the original document. Then, click Submit.
View the Review
Once the review has been submitted, the document will be sent off for analysis, and users will see a notification in the left bottom corner of the screen that shows the analysis is in progress. You can close the flyout, navigate away, or run AI Doc Review on another document
When the AI review is complete, you will be alerted in the bottom left corner notification box. The file will appear in the same folder as the original document, using the chosen file name and type.
The AI review contains a link to the original document and the name of the selected analysis type at the top, followed by the review.
Source Linking
Prompts that reference page numbers (those that provide specific information, like medical chronologies, rather than those that summarize information) include embedded source links, guiding you to the page where the information was taken in the original document.
Source links appear as links with the page number listed. Clicking the link opens the previewer for the source document in a new tab, automatically scrolled to the page listed in the link. If the information is sourced from a range of pages, rather than one page, the link will list the range (Pages 6-7, for example), and clicking the link takes you to the first page in the range.
Reporting
AI Doc Review information can be reported on using the “AI Job List” report. You can find this report in the Create New Report list in the report builder.
This report is also used for AIFields. To run the report for only AI Doc Review, apply the “AI Job Type is” AI Document Review” criteria.
The AI Job List report includes the following columns:
- Org name
- project name
- analysis type: the selected analysis type for this review
- filename: the name of the file the AI Doc Review drew from
- page count: the page count of the file the AI Doc Review drew from
- job status: whether the job is in Analyzing, Completed, Created, Queued, or Failed status
- username: the username of the user who uploaded the file
- email: the email of the user who uploaded the file
- target field: the name of the AI Doc Review
- target section: the name of the custom section containing the AI Doc Review
- created date: the date and time that the file was uploaded, when the AI Doc Review was triggered
- completed date: the date and time that the AI Doc Review finished generating
