Vinesign has a host of new updates, including Multisign, which allows Vinesign users to send a job to multiple signers. This article provides an overview of the new changes, including:
- Multisign
- Template Design
- Review and Send Options
- Job Search
- Custom Messages
- Private Jobs and Templates
Multisign
Multisign allows users to create placeholder fields and signatures for multiple signers on a single document. The document is then sequentially sent to all signers for them to fill out their applicable placeholders.
With the new template design, users can add color-coded fields for the different signers in a new Signers panel. Read the next section to learn more about the new template design process.
Sending a job will look similar, but you will now fill out the information for all of the signers you’ve added to the document template.
When a multiple-signer job is sent out, the job will be sent to the first signer. Once they have signed and filled the document, the job will be sent to the second signer, and so on, until the document has been filled by all signers. The creator of the job will be notified via email whenever a signer completes the document.
Once all signers have filled the document, a copy of the completed document will be sent to all parties.
Template Design
The Vinesign template process has improved. Users can now:
- add fields for multiple signers in a single template
- manage and add signers
- make custom fields read-only or required
This section reviews the changes made to the template design process. For detailed instructions on how to create a template and job in Vinesign, read Vinesign.
Multiple Signers
Vinesign templates now allow multiple signers. Each signer will have their own color-coded signature fields to fill and sign. Add, switch, or manage signers in the Signer 1 dropdown in the Signers panel.
Fields Options
Fields can be added by selecting a signer and dragging the field from the Signers panel to the correct page of the document.
Custom fields can be created by clicking + Text Field. The field will be added to the Document Custom Fields below, making it easy to add the field for multiple signers. Custom fields can be renamed, made read-only, or marked required in the right-hand Field Properties panel.
If your Vinesign account is linked to a Lead Docket account, you can auto-fill the field by adding a merge code. Learn more about adding merge codes for Lead Docket.
Review and Send Options
In the Review & Save and Send pages, you have new options to:
- preset signers
- change signature settings
This section reviews the new options for reviewing and sending jobs. For more details on how to review and send a job in Vinesign, read Vinesign.
Preset Signers
Setting a signer for the template means that the name, contact information, and authentication settings for that signer will always be automatically filled when sending the template. If you have a template that will always need to be signed and filled by the same user, presetting that user as a signer will save you time.
Signature Settings
Choose your signature color and allow additional signature options like a typed signature.
Job Search
In the Jobs section of Vinesign, you will now have the option to filter by your own jobs or by the jobs of other users.
Custom Messages
Customize the text and email message for your signees. Custom messages can be saved as part of a template or created for an individual job, and default messages can also be set for the entire organization in the Settings section.
The default message can also be changed to Spanish. Selecting Spanish changes the signee experience (prompts, buttons, and confirmation email) to Spanish as well.
Private Jobs and Templates
Admins can now enable private jobs, private templates, or both for any of their users.
Jobs and templates created by that user will be accessible only to the user who created them and to any Admin users. Admin users can view and use all templates and see all jobs. To learn how to enable private jobs and templates, read Set Up Vinesign.
