An Org SMS number can now be used to send and receive texts both from the Org’s mailroom and from individual projects.
You will still be able to use the Org SMS number to send texts from the mailroom as usual. Items and their comments can still be moved to projects from the mailroom. Learn more about texting in Filevine.
Sending from the Project
Texts can be sent straight from a project using either a project number or an Org number. To send a text from a project, go to the activity feed and click on the vertical ellipsis menu to the right of the “Write a note” text box. Select “Send as text” from the dropdown to view sender and recipient options.
If you have multiple available numbers, you can click the pencil icon next to the default number to choose a different number. If the project has its own SMS number, the project number will be the default. If the project does not have its own number, the default Org number will be the default.
Once you have selected the SMS number you would like to send from, you will select the recipient. In the search bar, you will be able to search for any project contact with an SMS number. Click on a contact to view their numbers, and select the number you’d like to send to.
Best Practices
You will now be able to use one Org SMS number for many different projects. Below are some best practices and tips to help you maintain clarity in the Org SMS framework as you begin to use this new feature.
- Use the Org SMS number for all new clients.
- If you have the same client on multiple recent projects, continue to use project-level SMS numbers for these projects.
- When cases with project-level numbers are archived, their numbers will become available as Org numbers in the Manage Org Phone Numbers Advanced tool. These numbers can be used as Org numbers or removed to reduce clutter.
