Users can annotate, comment, sign, and more in .pdf documents within Filevine. This article discusses how to use Docs+ PDF Advanced Options, including optimizing, cropping, rotating, and more. Learn more about how to use Docs+ PDF.
To open Docs+ PDF, select a document and click on the document’s properties menu. Select “Edit Doc.” You can also open document editing from the preview screen by clicking on the “Edit Doc” icon in the top right corner.
All changes made to the document must be saved before closing the editor. Save by clicking on the save icon in the top right corner. Make sure to wait until the document has finished saving before closing.
You can also “Save As” to make a copy of the document in the Advanced Options panel by clicking on the document icon in the top right corner, or by clicking on the document icon in the open left-hand panel.
In the panel, adjust the document name as desired and then save. A copy of the edited document will appear in the Docs section.
Optimize the .pdf to reduce the file size and make sharing the document easier. Click on the document icon in the top right corner to open the Advanced Options panel, select the arrow dropdown next to "Optimize PDF," and click "Start Optimization."
Click on the document icon in the top right corner to open the Advanced Options panel and then toggle to the outline icon in the middle. If the document already has bookmarks, you will see them listed here.
To create a bookmark, scroll to the page you’d like to bookmark and click “+ Add Item” at the bottom of the Advanced Options panel and enter a name for that bookmark. When a bookmark is selected in the outline, the document will automatically scroll to that page.
Newly-created bookmarks will be placed in the outline directly below the selected bookmark. To reorder a bookmark in the outline, select the bookmark and use the reorder arrows to move it up an organization level or up in the list. Bookmarks with carets next to them can be expanded to reveal nested bookmarks.
Insert pages from one document into another .pdf document using the insert option in the Advanced Option panel. (If you would like to combine several documents together, the Docs+ Combiner will be a better fit for your needs.)
Open the PDF Editor for the document where you would like to insert. Click on the document icon in the top right corner to open the Advanced Options panel, and then click the down arrow next to “Insert pages from another PDF.” Search for and select a .pdf, .docs, .xlsx, or image file from the project or upload a file from your computer. When you’ve selected the file you would like to insert, click “Next.”
The next panel will give options for which pages of the document you would like to insert and where. You can leave the first textbox blank to insert all pages of the document, or choose one or multiple pages to insert by listing separating by commas (1, 2, 5) or giving a range (2-4).
In the second textbox, enter the page number of the document where you would like the new pages or file to be inserted. The new pages of file will be inserted after the page number entered here.
When you have chosen the pages to insert and where in the document to insert them, click “Insert Pages.” The document will now have new pages inserted. If you’d like to save this document with inserted pages as a separate copy, you can Save As.
Advanced Options includes four other capabilities for manipulating the document:
Each of these options can be selected in the Advanced Options panel. Click on the document icon in the top right corner to open Advanced Options. You will see a thumbnail view of the document in the panel, with options for manipulation displayed at the bottom of the panel and beneath your selected page.
Delete or Extract
Delete a single page in a document by clicking on that page in the pages/thumbnail view and then selecting the trashcan icon below it.
To extract or delete a range, enter the range of pages you would like to manipulate at the bottom of the panel and click on the trashcan icon or the extract icon. Once pages have been extracted, they will be downloaded to your computer’s default download folder with the title “Extracted pages from [ORIGINAL DOC TITLE].”
Rotate a single page of the document by selecting it in the thumbnail view and then using the rotate controls beneath the thumbnail. Rotate a range of pages by entering the range in the field at the bottom of the panel and selecting “rotate clockwise.”
To reorder, click and drag the page you would like to move to the new place in the outline.
Select multiple pages in a document by holding the control key (or command on Macs) and selecting the desired pages in the thumbnail. Once pages are selected, you can use the rotate, delete and extract buttons on the bottom of the panel, or drag and drop the pages to reorder them on the thumbnail menu.
