Docs+ PDF is part of Filevine’s Docs+ Features, which also includes Docs+ Combiner and OCR and Indexing. If you are interested in Docs+, contact your Filevine rep to learn more.
Annotate, comment, sign, and more in .pdf documents within Filevine. To edit a .pdf, select a file and click on the document’s properties menu. Select “Edit Doc.” You can also open document editing from the preview screen by clicking on the “Edit Doc” icon in the top right corner. Selecting “Edit Doc” will open the Docs+ PDF tool. All changes made to the document must be saved before closing the editor.
Create and Edit
The center of the ribbon provides options to add different types of annotations to the document.
The “view” tab in the ribbon is the default, and removes any dropdown options. Clicking on any of the other tabs will drop down a submenu of different options for annotations, including undo, redo, and erase icons on the right.
Annotations can be resized, edited, and moved by clicking on them in the document and dragging. Click on the annotation in the document to view options for adding a comment or file attachment, adjusting color and thickness, or erasing.
All comments and annotations can be reviewed by clicking on the speech bubble icon on the right side of the top ribbon.
Annotate and Shapes
The “annotate” tab in the ribbon will allow you to

- strikethrough
- comment
- add text
- add shapes
- write
The “shapes” tab in the ribbon will allow you to add a variety of shapes to the document, like circles and arrows.
To make an annotation, click on the desired icon in the submenu, and then in the document where you’d like to add the annotation.
Color, opacity, thickness, and text size for these icons can be adjusted by clicking on the different colored icons on the right side of the submenu.
Each annotation type has four options that can be set as defaults, meaning that you could set one pen to write in a thick, opaque red line and another to write in a translucent green, and switch between those options quickly.
Insert
The “insert” tab in the ribbon allows you to insert signatures, stamps, files, and callout annotations.
To sign a document, select the signing icon and then click “Add New Signature.” You will have the option to draw, type, or upload a signature.
Add a ready-made stamp, an uploaded picture, a file attachment, or a callout. Attached files will be represented as a paperclip icon in the document, and can be downloaded or linked. A “callout” is similar to a comment and places a text box with an arrow in the document.
Edit
The “edit” tab in the ribbon includes form editing, cropping, and redacting. Cropping the document will add the cropped area to the top of the document as the first page.
Document form editing is only applicable to .pdf documents with fillable fields. Form editing allows you to fill those fields. The document cannot be saved in Filevine with the fields filled. Users will need to print > save to PDF to save the filled document to their device, and then re-upload separately as needed.
Single pages of documents can be cropped at a time. Crops can not be undone, so use caution when cropping.
Redact
Use the doc with an “x” icon to redact any part of the document. Color and border color for the redacted block can be chosen in the dropdown menu. Select an item for redaction and then click the checkmark to confirm. A popup will ask if you are sure that you would like to redact all selected text or blocks. Click “Apply.”
Unlike shape tools, redaction will “burn through” the text of the document, and cannot be moved or removed when the document is downloaded. Redacted information can, however, be viewed within Filevine in previous versions of the document.
