Org Admins can now grant users different levels of access for contacts.
Levels
There are two contact-related permissions: contact editing and contact creation. A user can have neither, just contact editing, or both contact editing and contact creation.
- neither: Users without the contact editing or contact creation permissions will still be able to view all information in contact cards, and add existing contacts to person fields and projects, but they cannot edit any fields in a contact card or create new contacts.
- contact editing: Users with the ability to edit contacts can view and edit all information in contacts cards.
- contact creation: The contact creation permission requires the contact editing permission to be on. Users with these permissions will be able to view, edit, and create new contacts.
Org Admins have the ability to delete and archive contacts, regardless of their other permissions.
Neither Permission
Users with neither contact permission can still add existing contacts to person fields and projects. However, they will not see the “new contact” option on person fields, in the Contacts project section, in the Address Book, or when creating a new project.
If a user without either contact permission opens a contact card, all fields will be viewable but grayed out, indicating that they are not able to be edited.
Contact Editing
If a user has just the contact editing permission, they can add existing contacts to person fields and projects, open and view contact cards, and edit contact card fields.
WIthout the contact creation permission, the user will not see the “new contact” option on person fields, in the Contacts project section, in the Address Book, or when creating a new project.
Contact Creation (and Contact Editing)
Users with the contact creation permission will always also have the contact editing permission. Users with this permission can view, add, and edit existing contacts, and can also add a new contact in person fields, in the Contacts section, in the Address Book, and when creating a new project.
Granting
These permissions can be granted in the Advanced Access tab or when inviting a new user to an Org.
Advanced Access Tab
Navigate to the Advanced Access tab by clicking Main Menu > Setup > Orgs > Advanced Access.
Select the team member you would like to grant or remove access from. Find the Contact Creation and Contact Editing permissions in the list.
Toggle the Contact Creation and Contact Editing permissions on or off for that user as desired. Granting the contact creation permission automatically grants the contact editing permission.
Inviting a New User
When inviting a new user to the Org, you will be able to set that user’s contact permissions.
