Once you add or link a project to Depo CoPilot, you can start preparing for a deposition. Add the deposition to your project, and then add goals describing what you want to accomplish. When you begin recording, Depo CoPilot will reference your goals to help you stay on track.
Add a New Deposition
On the main projects page, select a project. Click New Deposition in the top right corner. In the deposition’s page, click on the title (by default, “New Deposition”) to change the deposition’s name.
Add Goals
Add up to 30 goals for this deposition. Depo CoPilot will analyze whether these goals have been accomplished throughout the deposition, using references to the transcript that you can review. Goals cannot be added or edited after you start the recording, so make sure to add and finalize all your goals beforehand.
You can either use goals from the Goal Library—a central repository for reusable goals at your firm—or you can create custom goals.
To use a goal from the library, find the desired goal in the righthand side panel. Use the “Created by” dropdown to display goals created by either you or everyone. Alternatively, you can choose Suggested from the dropdown to see generic goals created by Depo CoPilot. To find a goal by title, use the search bar.
Once you find the desired goal, click + Add to depo. You can then customize the goal’s title and details if desired.
To create a custom goal, click + Create new goal and enter the goal’s title and details.
Attach Documents
If this deposition’s project is linked with Filevine, you can attach relevant documents from the Filevine project to your goal. Depo CoPilot can then cross-reference witness testimony against your project documents in real time.
Click + Attach documents, and choose one of the following options:
- Attach documents from your linked Filevine project. Select the “Search documents” field, and make sure Include Filevine project docs is selected. Search for and select the desired document(s). Filevine project documents have a Filevine logo.
- Upload documents from your computer. Click Upload, and upload your desired document(s) directly from your device. Keep in mind that any documents uploaded directly into Depo CoPilot do not sync back into Filevine.
Note: The documents from your Filevine project do not sync in real time. If they are updated in Filevine after you initially linked your project, those updates do not reflect in Depo CoPilot.
Click Save and add additional goals.
Begin Recording
Once you create your goals and attach relevant documents, you are ready to begin recording. You can record either using your own microphone or by having Depo CoPilot join the meeting.
To record with your microphone, click Record With Mic. The recording will begin immediately, using your device’s microphone. Click Pause to stop the recording. Click the square icon to end the recording, and the circle icon to play. You can also click Source to change the source to a meeting link.
To record from a meeting, click Record From Meeting. Enter the link from your meeting. When you join the meeting, you will see “Filevine DepoCopilot” added as a user. Nearly any meeting link will work here—simply include the entire link you would normally click on to join a meeting. If a password is required, include it in the link.
To change recording settings, first pause the recording. Click Settings to view and update the meeting link. Click Source to switch to recording with your mic.
You can pause the recording and resume at any time. However, once you’ve clicked End Recording, you will no longer be able to record for that deposition.
Alternatively, if the deposition already happened, you can click Upload a File and upload the recording. Depo CoPilot will listen, transcribe, and then share any relevant insights from the recording. Supported file types include: .wav, .mp3, and .mp4.

Goal Library
To reuse a goal in future depositions, add it to the Goal Library. This action saves you the step of manually reentering the same goal repeatedly. You can also see goals created by other members of your Org.
In Depo CoPilot, go to the main menu and select Goal Library. To add a goal to the library, click + Create goal and enter the goal’s title and details. You cannot attach documents at this stage—only once you add the goal to a deposition. When you’re finished, click Save to library.
To find an existing goal in the library, you can search by title. If desired, you can expand the “Created by” dropdown and filter by either everyone or you.
To edit a goal’s title or details, click the pencil icon. Make the desired edits, and then click Save changes. Your edits will apply only when the goal is used in the future. Depositions that currently use the goal will be unaffected.
To remove a goal from the library, click the trash can icon, and then click Delete goal to confirm. While the goal cannot be used in the future once deleted, depositions that currently use the goal will be unaffected.
Note: Whatever goals you add to this section are visible to everyone in your Org with Depo CoPilot access. Anyone in your Org can view and edit your goals, and use them in depositions. Likewise, you can view, edit, and use any goals created by other Org members.
Manage Depositions
On the main projects page, select a project to see the depositions it contains. You can review each deposition's status (not started, paused, or ended), name, and duration of the recording so far.
You can search depositions by their names using the search box at the top right.
You can also rename or delete a deposition from this list. Click on the vertical ellipsis for that deposition to view these options.
Note: Once a deposition has been deleted, it cannot be recovered. Exercise caution when deleting depositions.
To move a deposition from one project to another, find and select the desired deposition. In the lefthand side menu, select the “Project” field, then search for and select the desired project.
To confirm the deposition moved successfully, click Back to Project, then click Back to Projects. Select the project where you moved the deposition, and make sure the deposition is listed there.
