New to Teams Checklist

Welcome to using Team Permissions within Filevine. If you are new to Teams, here are a few items to review as you begin using the feature.

• Default Team
• Integration Users

Default Team

When an Org is moved to Teams Permissions, a “Default Team” is created. The Default Team consists of all members of the Org who were set to be auto-added to all projects. 

The Default Team will be auto-added to any project where all of these auto-add members were already existing, to ensure that no additional access is granted.

For example: there are five people in your Org and all are set to be auto-added. If Project A has all five members of the Org already on it, the Default Team will be added to this project. If Project B has only four of the five Org members on it, the Default Team will not be added to it. This change does not affect the current users who have access.

Review the Default Team Settings

Reset your auto-add roles. Your Default Team does not include any auto-add Org level roles automatically. If you would like your users to have their auto-add roles as previously set, reset them on your Default Team. 

You can set auto-add roles by clicking on the Default Team in the Teams tab, and then adding the roles in the Team Members tab’s Project Roles column.

Review any other projects the Default Team should be added to. The Default Team is not necessarily added to all projects, as discussed above. To check which projects your Default Team has not been added to, navigate to the Projects tab, filter where Team = Default Team, and select None.

This filter view shows you all projects without the Default Team. When you select the projects, you can select the Teams icon, and then choose to add the Default Team. This will provide everyone on the Default Team with access to these projects. 

Integration Users

Integration “users” are included in Orgs to allow for Integrations between Filevine and other platforms like Workato, Lead Docket, and Vinesign.

The best practice with Teams is to ensure that these integration users, if you have them, are included on all Teams you create. This practice will help limit the chances of accidentally removing these users from your projects.
