The Data Migration Advanced tool allows you to migrate your data into Filevine. To navigate to Data Migration, click the main menu and select Advanced. Select Data Migration from the left side menu.
The Imports tab in the Data Migration Advanced tool allows partners to create their own batches and batch updates for import. Once a batch is created, data can be imported using the generated spreadsheet template or the Import RDS Server tools.
The Storage tab allows you to create an S3 bucket to facilitate migration imports.
Navigate and Set Up
The Imports tool is part of the Data Migrations Advanced tool. Permission for the Data Migration tool can be given in the Advanced Access tab.
To navigate to the Imports tab, click the main menu, and select Advanced from the dropdown. Select Data Migration in the left side menu, and then click the Imports tab.
Using the dropdown at the top of the page, select the Org where you would like to import the information. Enter and select the server you use to import the information.
Create a Batch
Once you have selected the Org and server, you can create a new batch or batch update. Click Create New or Create Update in the top right. A new batch will add new data, while a batch update will update existing data.
On the next page, select the pieces you want to import or update.
Click Create Batch. (You can also click Create Map to download a spreadsheet of the fields.) Once the batch has been created, you will see in it the list of batches.
If you are using Import RDS Server tools to import, you can now import there.
For Spreadsheet Imports
If you are importing using a spreadsheet, select the batch from the list. In the Edit Import Batch flyout, click the Template tab.
Download the .xlsx file template and add the data to the template.
Once you have added your data, in the Edit Import Batch flyout, select the .xlsx file and upload. Click Start.
Batch List
Once a batch or batch update has been created, it will be listed in the Imports tab. In the batch list, you can search, filter by date, and refresh.
The batch list includes the following information:
- status
- import type
- batch table
- global queue position
- priority
- created by [user]
- create date
- start date
- finish date
- archive status
The columns in the table can be filtered, adjusted, and moved. Learn more about managing the table.
Edit Import Batch
Click on a batch in the list to open the Edit Import Batch flyout, where you can view additional information about the batch, upload a spreadsheet, and add notes.
Archive Batch
To archive a batch, click on the Archive button in the Archive column of the table. Then, in the modal, click Yes.
Note: Archiving a batch will remove the batch. You will not be able to recover the batch. Archiving a completed batch will not change the imported data.
Storage
In the Storage tab, you can create an S3 bucket to facilitate migration imports. These buckets have a 365-day expiration date by default, but this date can be extended by contacting your Filevine representative.
Click Create Bucket, and the bucket will be created, with all of the following details displayed. Click the eye icon to view the “Secret Access Key” and “Password.”
